Mobile Access a Must for Property Management!

Customer Challenge:
A property management company came to us wanting to replace their current maintenance management system. Trying to manage service requests and close out work orders with no mobile access was becoming time-consuming. Besides the techs needing access, they have a hand full of vendors who also need permission to go in and update information. The applications that they wanted were: Asset Management, Preventive Maintenance, Work Order Management, Document picture storage and Management. It was very important to have the ability to run detailed reports.

Success Solution:
Having mobile access was critical.  Demonstrating our application through our mobile screen view, the customer was able to see that creating and closing work orders was effortless. Focusing on the customers’ needs, we walked through other features that:

• Different request screens for residents and managers.
• Details and functions of the work orders, maintenance, assets and inventory modules.
• Scheduling of preventive maintenance through the module and our interactive calendar.
• Document Management module and the ability to upload documents, manuals, pictures, etc.

Agriculture Company Finds Maintenance Management and Tracking Maintenance KPIs Easy with eWorkOrders

Customer Challenge:  One of the largest agriculture growers in the US came to us looking for a system that would consolidate all of their information and keep track of all of their assets. It was important to be able to store manuals, documents, and pictures in one location that is easy to use. With their current process of using spreadsheets to manage their tools inventory, they had no way of knowing what and when tools were taken out of inventory, who took the tools out and if and when they would be returned. Keeping accurate track of equipment downtime is extremely critical because this impacts their bottom line. They want to share the database with two other departments but want to control the information that each department is viewing. For example, in his maintenance department, he doesn’t need to see the inventory for the grower’s department.

Success Solution:

Controlling Maintenance Operations and Costs Within a Zoo

Customer Challenge:  This Zoo owner came to us looking for an automated system to help manage the maintenance operations of their buildings and exhibits. Their current process using handwritten service requests was a disaster. With multiple people using the centralized spreadsheet, keeping accurate track of assets and audit trails was very difficult. Having a system to store and manage vendor information and expenses would help them control costs. Being able to identify and respond to safety issues is always a concern. They wanted a user-friendly and cost-effective solution. Upper management wanted the ability to run very detailed reports. At any time, he wanted to be able to view and get a status on all of their work orders. In an attempt to reduce errors, they wanted to enter data only once into the system. As they get comfortable with the system, they wanted the system to grow with them.

Successful Solution:  We demonstrated our basic offer to this customer, along with some features that would accommodate their future growth. Through our experience working with zoos, we were able to recommend some additional tips that helped them understand the benefits of using a CMMS solution. Our discussion included:

Camp and Retreat Center Have A Successful Journey with eWorkOrders CMMS Software

Customer Challenge: Managing a year-round Camp and Retreat Center with over 150 acres requires that facilities and equipment are always operating to its full potential.  They realized that their traditional pencil and paper approach to tracking business operations was limited, inefficient and not meeting their demands.  Managing numerous buildings, equipment and grounds, the risk of overlooking requests for repairs or who was responsible for the repairs could take hours, days or weeks to resolve.  Using this method of managing the camp was not productive and it was easy to forget things and loose papers.  In speaking with other camps and his staff, they all suggested that he takes a look at a Computerized Maintenance Management System (CMMS).  Through recommendations, he contacted Jeff Roscher, the software vendor for eWorkOrders CMMS software.

Having complete control over work orders gave the maintenance manager the ability to prioritized and re-prioritized work orders and be more responsive to urgent requests.  Using eWorkOrders for preventive maintenance helped them keep their equipment up and running, decreased downtime and gave them the ability to schedule maintenance during a time-frame that is convenient with their schedules.

Public Works Department Uses CMMS to Manage Assets and Make Speedy Repairs!

Customer Challenge: The Department of Public Works was looking for a comprehensive system to help them manage their maintenance operations. Having a system that was easy to use by everyone including people with disabilities, was extremely important. They also wanted to provide residents with a link so that they could put in a service request when they encountered an issue. Mobile access was a key feature that they needed so that they could quickly be notified of potholes, dead animals or anything that required immediate attention or repair.

Success Solution:  We demonstrated the user-friendly Service Request module, along with all of the other features that would help them better manage their maintenance operations. Keeping track of assets spread in multiple locations was easily accomplished through our CMMS software solution. Daily checklists for the week could be setup and managed on one work order from a computer or mobile device.

In addition, they were very interested in our GIS system to help them quickly identify the location of an asset that needed repair.

At the end of the demonstration, the customer felt that eWorkOrders CMMS could easily help them:

Biopharmaceutical Corporation Uses CMMS and Increases Customer Satisfaction

Customer Challenge: A Global Biopharmaceutical Corporation biggest business challenge was to be able to manage, maintain, and consolidate all of their asset information and documents into one centralized location. The system had to be easily accessible and user-friendly for a diverse audience of technical and non-technical personnel. Their team depends on the rapid retrieval of information so that they can quickly accommodate and respond to customer requests. They are currently using eWorkOrders CMMS solution in some of their other locations and are extremely happy with our software and customer support. 

Success Solution: We demonstrated our CMMS software to this customer. Having customers in this industry, we were able to provide additional recommendations to help them streamline some additional functions. We talked them through an actual work order, showing them that with the press of a button the service request would be immediately sent to a maintenance technician. Through the reports and dashboard modules, they have an instant snapshot of the status of their work orders. Customer Challenge: A large franchisor and operator of fitness centers were looking to bring the organization to the next level for tracking work orders to create more visualization. They currently use a spreadsheet and a system for communications, which was no longer efficient.

Main Objective: The system has to be user-friendly. Schedule preventative maintenance for the equipment and routine building maintenance, open and close out work orders, manage inventory and track repair histories. Run weekly reports to ensure that tasks were completed.

Food Manufacturer Looking For Easy-to-Use, Centralized Maintenance Management System That Will Grow With Their Company

Customer Challenge: A food manufacturer came to us looking for a solution to help them manage their maintenance operations. They currently have three plants, a distribution center, headquarters and are continually growing to add new locations in other states. They needed to get control of their maintenance department and wanted to have everything managed by one VP in one centralized location. This senior manager would be responsible for managing the workflow of work orders, accountable for personnel, tracking of employee work time and increasing the efficiency of the overall maintenance department. They needed the ability to track machine maintenance and downtime, along with photos, manuals, and other important documents. Accuracy was important in keeping track of inventory as parts are being distributed.

Successful Solution: We demonstrated how easy it is to track and view employee time, machine maintenance, parts inventory and accessing documentation through our cloud-based work order software. During the demonstration, they saw how easy it was to run reports and create dashboards to see the status of all of their work orders in real-time. We easily accommodated their pricing concerns.  Our standard option met their current needs and they have the ability to seamlessly add new users and new features with the growth of their company. They will never outgrow eWorkOrders, because it is expandable to meet the growth of the company.


Well Known Large Engine Manufacturer Eliminates Production Downtime with eWorkOrders

Customer Challenge:  Our customer is a manufacturing facility for large engines.  There is limited time to move heavy machinery oversized parts from place to place in their plant during the production process.  eWorkOrders was approached to see if we could prevent downtime on the production line by creating a work order solution for the movement of these components being transported by tuggers and forklifts.  In order to maintain compliance with operational safety procedures, the vehicles are only permitted to move throughout the plant during specific time intervals.  Work orders are assigned to and completed by vehicle drivers using a tablet and our mobile software solution.

Successful Solution:  eWorkOrders was able to successfully build a custom queue with a focus on priority and aging of the work orders assigned to each driver.  This helps ensure that work will be completed within the desired timeframe and not become stale.  As work orders age, the color will change and the drivers are visually warned.  A schedule was built into the program with time intervals for vehicle movement only during “safe time” operating schedules.


Snack Food Distributor Upgrades from Paper to CMMS

Customer Challenge:  A large distributor of snack foods contacted us looking to upgrade their maintenance management process.  The current paper and pencil process was not an efficient or easy way to manage work orders.  Meeting inspection regulations requires them to maintain accurate and detailed records.  Attaching documents and photos to work orders is a necessity. A big benefit would be able to keep track of vendor information.  They are looking for a software solution that would fit within their limited budget.  The system needs to be flexible for anticipated growth.
